How does License Maxing find unused Microsoft 365 licenses?
Every sync pulls your license inventory, user directory, and Microsoft 365 usage reports (mail, Teams, OneDrive) through Microsoft Graph. Users with no recent activity anywhere — or activity far below their plan tier — are flagged with the licenses they hold and what reclaiming them saves.
Does License Maxing read email or file contents?
No. Usage reports contain counts and sizes only — messages sent, storage used, files edited. Message bodies, file contents, and calendars are never read or stored.
Can it identify E5 users who could move to E3?
Yes. The savings calculator compares each user’s actual workload activity against their assigned plan and flags oversized assignments, priced with your real seat counts. Downgrades can then be executed in bulk through a reviewed savings plan.
How often does usage data sync?
Syncs run automatically on a schedule and can be triggered on demand. The underlying Microsoft 365 usage reports refresh on Microsoft’s own 24–48 hour cadence, and every report page shows a freshness badge with the data-as-of date.
Is Microsoft 365 admin consent required?
Yes — a one-time admin consent grants read-only reporting permissions. Write operations (offboarding, license changes) are only exercised when someone in your organization explicitly executes them, and consent can be revoked from your Entra portal at any time.
